Final “Camera Ready” Submissions (October 15, 2025)

Accepted Formal Paper Authors are required to complete 2 steps:

Step 1: Submit your FINAL paper using the CMT submission portal 

  1. Make any and all necessary outlined by reviewers
  2. Add all author information per IEEE Format A4 Template, Letter Template
  3. Convert Word document into PDF using IEEE PDF Xpress (step-by-step instructions can be found in the below section)
  4. Register to attend SPCE 2025*
  5. Complete, Sign, and Submit the IEEE eCopyright Form in CMT (step-by-step instructions can be found below)
  6. Rename in the following format: Paper# X_Title.pdf
  7. Upload the paper to the “Camera-Ready” Submission page in CMT (step-by-step instructions can be found below)

Authors must complete all of the requirements outlined above and be registered for SPCE 2025 by October 15, 2025**.

*A submission to SPCE 2025 with confirmed acceptance implies your willingness to register and pay for the privilege of presenting your work in person at this year's event AND to present their work for it to be published in the proceedings.

*Please note to prevent delays in the publication and dissemination of the SPCE 2025 program, no changes will be permitted to final submissions after the October 15th deadline, meaning whatever file is uploaded into CMT on October 15th, 2025, will be the one made available to attendees in the SPCE 2025 Proceedings and submitted for publication to IEEE Xplore. Any changes made after this date may still be presented at the conference at the discretion of the TPC and Track Chair but will not be added to the program proceedings or the SPCE 2025 IEEE Xplore submission. Once the Copyright form is submitted, your submission is final. 

Generate an IEEE Xplore-compatible manuscript using PDF Xpress

All final manuscripts must be generated using the PDF Xpress tool.

To generate the IEEE Xplore-compatible PDF file of your paper, follow these steps:

  • Create your IEEE PDF eXpress account: https://ieee-pdf-express.org/
  • Conference ID: 68561X
  • The first time you access the system, please follow the link “new user”. Please note that in order to access the service, you need to allow the use of cookies from the PDF eXpress website. Once registered as a new user, upload the source file (containing your paper) for conversion.
  • Receive by e-mail the IEEE Xplore-compatible PDF of your paper.

IEEE eCopyright Submission Instructions

How to Submit IEEE eCopyright Form in CMT

  1. Log into your CMT Account to access your SPCE 2025 Author Console.
  2. Click the Submit IEEE Copyright Form link in the "Actions" Column 

3. Click the link to be redirected to the IEEE Copyright website 

4. Fill out the required form and Download the PDF Copyright File

5. Return to the SPCE 2025 CMT site and upload your completed IEEE Copyright PDF File. Hit Save. 

After this is complete, please proceed to step 2.

Step 2: Submit your FINAL presentation into CMT

Authors of formal papers are still required to submit their final presentations. 

  1. Make any and all necessary changes to their presentation based on the Track Chair's feedback
  2. Add all author information & bio
  3. Convert the draft presentation to fit the SPCE 2025 Presentation Template 
  4. Rename the final presentation in the following format: Presentation# X_Title_Final.ppt
  5. Then, it is required that you convert your PowerPoint into a PDF. ALL PRESENTERS should upload both a FINAL PowerPoint AND PDF to CMT.
  6. Upload the final presentation into CMT by selecting “Camera Ready Submission”
  7. Register to attend SPCE 2025*

Presenters must submit their final version and complete their symposium registration by October 15, 2025**.
